Sending or Print one Memo:

This report allows you to compose and send an email through the reservation program.

An Email Note Form box will come up.

Enter all information in the appropriate fields. You can select a pre-written memo from the Memo Form menu,

 or type in your email. Memos can be edited by selecting the Edit button. A listing of Memos will be displayed. Click on the Memo you wish to edit, and the copy will be displayed. Edit as necessary, close the display and re-select your Memo. The changes will appear as made.

You can create a new Memo by choosing Add a Record. Type the Memo Title and Memo Contents in the spaces provided. When finished, close the box. Your new Memo will be available from the list.

Attachments can be added using the ... button to the right of the Attachment field to select a file.

When you are finished composing, Send Email. A dialog box will appear to let you know the status of your email.

Select Print a Copy if you would like a hard copy for your files.

Sending or Printing using Mass Emailing:

The email program will follow the entries in the chart "Email Restrictions Per Hour" depending on the time of the day (24 hour clock). So when you click on "Send Email(s)", that number of emails will immediately be send out, and then stop and wait for the next time period before sending out the next batch of emails.

In most cases, the number of outgoing emails is restricted by the ISP that handles your outgoing mail. For example, you could have your web hosted on Pacific Online, but use Comcast cable or AT&T DSL as your outgoing SMTP carrier. If you have a personal account, Comcast allows only 100 email per hour, in a 24 hour day.  In this case, you will want to change the entries to just one entry to:

Furthermore, since your entire computer uses the same outgoing mail account, like from Outlook Express or other emailling system, and if you were to mass email to your list, you would not be able to send additional emails.  So in this case, you should set the number of emails to, say 90 instead of 100, to allow you to do your other normal emailing throughout the day.  (If you use a web browser to log into your email system, like gmail.com, then this would not apply to you.)

Also, (as in this case, if you are limited to 100 per hour,) you might want to break apart the "Nbr Emails" and "Per X Hours" to 25 and .25 respectively. Then 25 emails will go out every 15 minutes.
